Inviting your team and managing access

How to invite your team to Centriu securely, defining roles, access levels and best practices to avoid confusion or risks.

This guide shows how to invite your team to Centriu securely, defining roles, access levels and best practices to avoid confusion or risks.

1. Before inviting: define your access strategy

Before clicking “Add user”, answer:

  • Who really needs to access Centriu at this moment?
  • Which departments will have access to the same data?
  • Which information should not be visible to everyone? (e.g., salaries, specific contracts, sensitive customer data).

Suggested initial groups:

  • Leadership Group – broad view of dashboards and reports.
  • CX / Support Group – access to ticket, NPS and SLA panels, without seeing sensitive financial details.
  • Growth / Marketing Group – campaigns, funnels, performance, without changing critical settings.
  • Finance / Management Group – revenue, churn, ARPU, LTV, etc.

2. Understanding roles

Adapt to the roles Centriu offers, but in general use:

Admin:

  • Can manage users, permissions, integrations and global settings.
  • Should be limited to a few people.

Manager / Leader:

  • Accesses complete dashboards for their area.
  • Can create reports, adjust filters and set goals, but cannot change security settings.

Operator:

  • Uses the platform day to day (support, tickets, data updates).
  • Restricted access to operational screens.

Viewer:

  • Only reads dashboards and reports.
  • Ideal for executives who only want to follow along.

Rule of thumb

If you wouldn't trust someone to “press the delete-everything button”, that person shouldn't be an Admin.

3. Step-by-step to invite users

  1. Go to Settings > Users / Access.
  2. Click “Invite user”.
  3. Fill in:
    • Full name;
    • Corporate email (avoid personal gmail);
    • Role (Admin, Manager, Operator, Viewer);
    • Team / department (CX, Growth, Operations, Finance, etc.).
  4. (Optional) Add tags or labels by squad/project.
  5. Send the invitation.

The user will receive an email with a link to create a password and access Centriu.

4. Best practices for team onboarding

After inviting the team, the work isn't over. To make sure people actually use it:

  • Hold a quick introduction session (30–40 minutes):
    • – Show the main dashboard;
    • – Explain how Centriu will be used in daily routines (meetings, support, analyses);
    • – Make it clear that questions are welcome.
  • Create an article or pinned message with “first steps for newcomers”:
    • – How to log in;
    • – Where the main dashboards will be;
    • – Who to contact in case of an error.
  • Agree on simple usage rules:
    • – Do not share access;
    • – Never send screenshots or sensitive data outside official channels;
    • – Always update data in the system (and not in parallel spreadsheets).

5. Adjusting access over time

The worst thing is to leave permissions “frozen” forever. Set a review cadence:

  • Monthly, review:
    • – who joined and who left the company;
    • – who changed departments;
    • – whether anyone still needs an Admin role.
  • When someone leaves the company:
    • – revoke access immediately;
    • – transfer ownership of dashboards/projects to another user.
  • When creating a new squad or project:
    • – define whether specific panels will be needed;
    • – create dedicated access groups;
    • – review whether sensitive data is involved.

6. Quick checklist for “healthy access”

  • There are at least 2 administrators (and no more than 5).
  • Each user is associated with a clear role.
  • There are no generic accounts (like “admin@company”) without an owner.
  • The user list was reviewed within the last 30 days.
  • There is a communication channel for questions about using Centriu.
